Mark Your Calendar: Automatic cleanup of bin contents in December 2025
Info
Starting with the next release (end of November), binned content will be automatically and permanently deleted after a default retention period of 90 days. This setting ensures that databases remain lean and performant, preventing indefinite accumulation of deleted objects.
As an administrator
I want deleted objects in the bin to be automatically cleaned up after a default period of time
So that the database stays efficient, system performance is maintained, and data retention is predictable.
Benefits
Prevents indefinite growth of database size, reducing storage usage.
Improves overall system performance and maintainability.
Info
Note
The 90-day default applies to all new clients and existing clients where no value is currently set.
Administrators can still configure higher custom retention periods globally or per object type if needed. Make sure to do so for the next release.
Date | Event Title | Notes |
Dec 1, 2025 | Automatic cleanup of bin contents set to 90-day default where no value is currently set. | Overwrite still possible on all objects |

To improve clarity and consistency across products, the terminology ‘Problem types’ and ‘Problem type schemes’ has been updated to ‘Service types’ and ‘Service type schemes’. This change ensures alignment between the Asset and Workplace Experience modules.
As a user of Requests
I want terminology that reflects how the system is actually used and matches other modules
So that I can work with consistent and understandable naming across products without confusion.
Benefits
Clearer, more intuitive terminology for end users.
Consistency between Workplace Management and Workplace Experience.
No impact on technical configuration or existing data.
Info
The underlying technical object name (problemType) remains unchanged.

User Interface – Button sizes aligned with other Spacewell products
Info
To align Asset with the Spacewell product design system, large startboard buttons — intended for non-admin users — have been made wider. This update ensures full consistency across Spacewell products for regular user buttons.
As a non admin user
I want large buttons that follow the Spacewell design system standards
So that my user interface is consistent across products and visually optimized.
Benefits
Consistent button sizes across all Spacewell products.
Improved alignment with the product design system.
Info
A temporary setting allows reverting to the old square. This option is available until next release, giving administrators a grace period to adjust custom startboards before the wider style becomes enforced.

Assets – More related objects in pulldown
Info
In the ‘Related objects’ tab of an asset, users can now also view related work activities and maintenance schedules. These new options are only shown when the corresponding modules are enabled and the user has the required authorizations.
As a user managing assets
I want to see related work activities and maintenance schedules directly in the related objects tab
So that I have a more complete view of asset-related information in one place.
Benefits
Expanded visibility of related asset data.
Better integration with work and maintenance modules.
More efficient navigation and information access

Compliance – Auto-Add building legislation when reassigning assets
Info
When an asset is reassigned to a different building, any building-related legislation documents are now automatically generated for the new building. This behavior mirrors the existing process of assigning new legislation to an asset, where related documents are also automatically linked.
As a compliance officer
I want building-related legislation to be automatically applied when reassigning assets to another building
So that compliance documents stay complete and consistent without requiring extra manual work.
Benefits
Ensures compliance data remains accurate after building changes.
Reduces manual steps when reassigning assets.
Maintains consistency with existing legislation assignment behavior.

Compliance – More dashboard filter options
Info
Two new filter fields have been added to Compliance dashboards, extending the existing filtering on Upload document responsible. These new options provide greater flexibility when analyzing compliance data across suppliers and organizations.
As a compliance officer
I want to filter compliance dashboards by organization and asset supplier
So that I can quickly analyze documents across departments, suppliers, or internal teams..
Benefits
More flexible dashboard filtering options.
Easier analysis across departments and suppliers.
Available in both Compliance graphs and Compliance documents dashboards.

Compliance – Improved handling of initial reference dates
Info
When creating legislation documents, the system now only copies the purchase/installation date of the related asset if the document is marked as applicable and the field is still empty. If a previously non-applicable document is made applicable again, the initial reference date will also be set automatically (if still empty).
As a compliance officer
I want initial reference dates to be filled automatically in the right situations
So that compliance data stays accurate and consistent without unnecessary manual work..
Benefits
Prevents errors in compliance workflows.
Ensures more consistent data population.
Reduces manual data entry for compliance teams

SCIM integration – Module activation added
Info
A dedicated module activation has been added for SCIM (System for Cross-domain Identity Management) integration. This makes it easier to enable SCIM-based user provisioning in Asset and clarifies the required setup steps.
As an implementation consultant
I want a clear module activation for SCIM integration
So that I can set up user provisioning more easily and with fewer configuration errors.
Benefits
Simplifies the SCIM integration setup.
Clarifies the required configuration steps.
Reduces the risk of mistakes during implementation.

Work Activities – Create LTMP work orders directly
Info
It is now possible to create LTMP (long term maintenance planning) work orders directly from a work activity or from the work activities list. Users can either create an LTMP work order from a single activity (if quantity is available) or select multiple activities to generate one combined work order.
As an LTMP user
I want to create work orders directly from work activities
So that I can manage and assign work more efficiently without unnecessary steps.
Benefits
Faster creation of LTMP work orders.
Option to create from single or multiple activities.
More efficient workflow for LTMP users.

Requests – Extended resolution field
Info
The ‘Resolution’ field in the Requests module has been extended from 255 characters to 4000 characters, allowing users to provide more detailed information when resolving requests. Existing content is not affected by this change.
As a service desk employee
I want more space to document resolution details

Icons – Expanded icon library
Info
The icon library has been expanded with around 50 new icons, giving administrators more flexibility when creating custom startboard buttons. The new icons are available under Client settings → Interface tab → Icons in the ‘General’ category, starting from ‘coffee-machine’ onwards.
As an administrator
I want a larger library of icons to choose from
So that I can better represent features and functionalities in custom startboards and pages.
Benefits
