AI-Driven Predictive Planning
Info
From dashboards to predictions and simulations.
Predictive insights: Predicts near-future space utilization using historical occupancy, floorplan layouts, reservations, and seasonality data
Simulations: Use the Simulation engine to test scenarios before committing: "What if we cut 20% of floor space?" "What happens when RTO policies change?"
Proactive planning: Moves workplace decisions from reactive reporting to proactive planning
Spacewell provides the context. VergeSense turns it into prediction.
Two complementary platforms. The workplace model comes from Spacewell, the prediction happens in VergeSense, and the decision comes back to Spacewell to be applied.
Info
Tip
Customers do not need VergeSense sensors to start. Our Floor plans and workplace context are enough to run simulations; sensor/occupancy data from Spacewell and/or Vergesense make the analysis more accurate.
Already using VergeSense sensors with Spacewell? You may already have the foundation in place.
Analytics for workplace experts

Reservation Insights dashboard
Info
New version, completely redesigned, based on feedback from various users
As a space manager
I want to understand how often spaces are booked
So that I can identify bottlenecks and adjust reservation policies
Benefits
Better metrics
Daily reservation time
Booking rate
Daily reservation time = How many hours a space is reserved (per day)
Tells how much 1 individual space is reserved per day
Does NOT tell how many spaces are booked simultaneously (this would be “Booking rate”)
Benefits
Identify spaces reserved above / below average
Identify least popular spaces (reserved less than 1h / day)
Metric is available as
absolute value (hours per day)
percentage value (hours per day / business hours)
Booking rate = nr of spaces booked / nr of spaces reservable (per hour)
e.g. Mon 2026-08-31 at 9am, 125 booked / 500 reservable = 25%
Tells how many spaces are booked simultaneously
per hour / per day
Avg booking rate = average per hour
Peak booking rate = highest per day
Highest booking rate = bottleneck identifier
Benefits
Observe week patterns
Compare buildings / floors
Identify bottlenecks
How is the feature made available? Automatically available to you as soon as the release is rolled out
Set flexible hour windows
Applicable for Space efficiency + Space Occupancy dashboards
Info
Freedom to apply only business hours or extended hours
Changes
Previous version | Sept version |
|---|---|
reports on business hours only | default reports from 7am to 19pm (12 hours), but applies your business hours as default filter |
as configured in Studio | lets you select extended hours if needed |
Benefits
Analysts can include or exclude extra hours-of-day depending on their business needs
NOTE: Space Occupancy per Day dashboard relies on the business hours only
How is the feature made available? Automatically available to you as soon as the release is rolled out
Space Monitor dashboard (before EOL)
Info
MEMO: Space Monitor is End-Of-Life. From Sept 2026 it is limited to occupancy only
Changes
Removed all “utilization” charts
based on headcount sensor data
Use Space Efficiency dashboard instead!
Space Monitor = only for occupancy analysis
Benefits
Consistent terminology:
utilization-> efficiencySpace Monitor availability
will stay available until end of 2026 at least
for occupancy analysis on Zones / Groups
For all other analysis
Space Occupancy per hour (6 months)
Space Occupancy per day (24 months)
Space Efficiency (6 months)

Admin for system administrators
Multiple calendars, one seamless experience
Info
Connect and manage multiple Microsoft Exchange calendar integrations within the same tenant; each with its own dedicated synchronization settings and resource mappings.
As an admin,
I want to configure several Microsoft/Exchange calendar connectors independently for my organization,
So that I can support different calendar environments, business units, or integration setups without settings conflicting with one another.
Benefits
Greater flexibility: Connect more than one Exchange calendar environment to your tenant when your organization needs it.
Better support for complex organizations: Accommodate organizations with multiple domains, entities, locations, or calendar-management requirements.
How is the feature made available? Configuration required
Full reconciliation support for recurring reservations
Info
Conflict resolution and overnight reconciliation now cover recurring room reservations, closing the last gap in Outlook and Workplace synchronization and removing most known causes of sync issues with recurring reservations.
As a user or administrator,
I want recurring room reservations to be corrected automatically, both when conflicts occur and after synchronization interruptions,
So that Outlook and Workplace stay aligned without manual investigation or cleanup.
Reservation type | Real time conflict resolution | Overnight reconciliation |
|---|---|---|
single reservations | Yes | Yes |
recurring reservations | Yes* | Yes* |
* Feature will be deployed in October
Benefits
Resolves conflicts on single-room recurring reservations in real time, keeping the first created booking.
Overnight reconciliation restores alignment after missed events or synchronization interruptions.
Removes or corrects stale recurring reservations left behind in Outlook or Workplace.
Covers inbound and outbound synchronization, whichever system the reservation originated in.
How is the feature made available? Semi-automatically (automatically available if specific configuration has already been set-up)
Control the availability of reservation remarks
Info
Administrators can now hide the reservation remark field for end users. When disabled, the field is hidden when creating a reservation in GO and Workplace app.
As an admin or reservation coordinator
I want to control whether end users can add remarks to reservations
So that reservation remarks are only available when they are part of the supported reservation process
Benefits
Reduces confusion by preventing users from submitting requests through reservation remarks when these are not monitored
Allows administrators to enable or disable reservation remarks based on their organization’s needs
How is the feature made available? Automatically available to you as soon as the release is rolled out
Restrict services to specific locations
Info
It is now possible to limit reservable catalog items — such as catering or services — to specific locations. Allowed locations can be set at any level, from a specific room to an entire floor or building, with child areas automatically included. In GO and the Workplace app, restricted items are automatically hidden based on the selected room or workplace
As a reservation coordinator
I want to restrict catering and services to specific locations
So that only relevant options are available when reserving a room or workplace in a given area
Benefits
Prevent catering or services from being booked in locations where they are not available
Flexible configuration — restrict per room, floor, or higher-level area
Child areas are automatically included when a parent area is configured
No restrictions apply when no location limitations are set, keeping it simple by default
How is the feature made available? Semi-automatically (automatically available if specific configuration has already been set-up)
Require a room when reserving services
Info
A new setting on reservable catalog items allows administrators and reservation coordinators to require that catering or services are always reserved in combination with a room or workplace. When enabled, these services cannot be reserved separately in GO or the Workplace app. The default behavior remains unchanged — catering and services can still be reserved standalone unless explicitly restricted.
As a reservation coordinator
I want to prevent catering or services from being reserved without a room or workplace
So that reservations always have a valid location associated with them
Benefits
Ensures services are always reserved with a physical location
Prevents incomplete or impractical reservations
Configurable per catalog item — existing behavior is preserved by default
How is the feature made available? Semi-automatically (automatically available if specific configuration has already been set-up)
Choose for which buildings users can make service requests
Info
A new setting allows administrators to control service request creation per building. Each building can be configured to allow or prevent requests, with settings inherited from the location hierarchy when no value is defined. When disabled, end users cannot create service requests for locations within that building in GO or the Workplace app.
As an administrator
I want to control which buildings allow request creation
So that service requests are only submitted for locations where they can be properly handled
Benefits
Restrict ticket creation to relevant buildings only
Hierarchy-based configuration — settings are inherited from parent locations, ensuring consistent behavior across the portfolio
Flexible — can be enabled or disabled at the client level without affecting other settings
How is the feature made available? Semi-automatically (automatically available if specific configuration has already been set-up)
Closing the chapter on Studio 1.0
