Amenities vs. Custom Attributes

Amenities and Custom Attributes can both capture information about a location, but they serve different purposes

Amenities

Custom Attributes

Purpose

Record whether a feature is present or not.

Capture specific data values — text, numbers, dates, lists, etc.

Best for

Quick tagging — 'Does this space have a whiteboard?'

Detailed data — 'What is the lease expiry date?'

History tracked?

NOYES

Example

Whiteboard, Air Conditioning, Standing Desk

Lease Expiry: 31/12/2026, Cost Centre: CC-4820

Info

When in doubt, use Amenities.

If you only need to record whether something is present or not, an Amenity is the simpler and faster choice.

Defining Amenities

Amenity properties

Each Amenity is defined with the following properties:

Property

Required?

Description

Name

YES

The label displayed in the UI. Must be unique across all amenities.

Examples: 'Whiteboard', 'Air Conditioning', 'Dual Screen', 'Bicycle Storage'.

Icon

YES

A visual icon selected from the application's built-in icon library. Icons appear in grids and on location detail panels, making amenities easy to recognise at a glance.

Applies to

NO

One or more location classes this amenity can be assigned to.

Tick the relevant checkboxes: Regions, Sites, Buildings, Floors, Spaces, Subspaces, Terrains, Subterrains.

An amenity only appears as an option on the location levels you have enabled here.

Maximum 99 Amenities

The system supports up to 99 amenities per tenant. Plan your list thoughtfully – focus on features that are meaningful across your portfolio, rather than creating a separate amenity for every minor variation.

Creating an Amenity

Info

Navigation: Settings > Amenities

  1. Go to Settings > Amenities and click Add.
  2. Enter a Name.
  3. Select an Icon from the icon library.
  4. Tick the location levels this amenity applies to (e.g. Spaces and Subspaces only).
  5. Click Save.

The amenity is immediately available for use on any active location of the enabled types.

Editing an Amenity

Select any existing amenity from the list and click Edit. You can update the Name, Icon, and which location levels it applies to.

Note

Disabling a location level has a cascading effect

If you uncheck a location level (e.g. you remove 'Applies to Floors'), the system will automatically remove this amenity from all Floor records where it is currently assigned — including archived floors. This action cannot be undone.

Deleting an Amenity

Select an amenity and click Delete. The system checks whether the amenity is currently assigned to any locations:

  • If it is not in use: it is deleted immediately.
  • If it is in use: the system shows a warning message: "This amenity is assigned to N locations. Delete from all?" If you confirm, the amenity is removed from all those locations and permanently deleted from the system.

Note

Deletion is permanent – not the same as archiving

Amenities are deleted rather than archived. Once deleted, an amenity and all its assignments are gone. There is no recovery option.

Assigning Amenities to Locations

Once your amenities are defined, users can assign them to individual locations or to multiple locations at once.

Assigning to a single location

  1. From Space Explorer, navigate to a location of your choice, click on it to open the ‘Location details’ panel.
  2. Find the Amenities section & click on ‘Edit’
  3. Toggle amenities On / Off
  4. Save

Assigning to multiple locations at once

You can assign or unassign amenities to multiple locations in a single action.

  1. From Space Explorer, select a main parent location and navigate to view all children (Sites or Buildings or Floors)
  2. Select multiple items from the grid and click on ‘Amenities’ (This is under ‘Actions’)
    • Ticked – all selected locations already have this amenity
    • Unticked – none of the selected locations have this amenity
    • Mixed (partial) – some locations have this amenity and others do not
  3. Toggle any amenity On or Off as needed and click Save. The changes are applied to all selected locations.

Info

Mixed state toggle behaviour

If an amenity shows a mixed state and you tick it, it will be added to all selected locations that do not already have it. If you untick it, it will be removed from all selected locations that currently have it.

Viewing Amenities on a Location

Assigned amenities are visible in two places:

  • Location detail panel: The amenities assigned to a location are listed in the Amenities section of its properties panel. If icons are defined, they are shown alongside the name for quick visual recognition.
  • Location grid (list view): The Amenities column in the grid shows the icons (or names) of all amenities assigned to each location. You can show or hide this column using the column selector.
