Maintenance Planning includes standard reports. Clicking the Reporting button at the top of the screen opens the following screen:
The screen consists of 2 sections.
On the left, you will find the standard reports supplied with the software. These are recognisable by the Category O-Prognose.
You can modify these reports, for example by adding fields or setting a different grouping. You can find a description of this under Creating reports.
By selecting a report, you can enter the conditions that the content of the report must meet in 5 tabs in the right-hand section. At the top of the screen, you can see the report you have selected.
General tab
Language: In the Ultimate version, you have the option to report in other languages, which is why you can choose from the following languages here: Dutch, English, German and French.
Format: Here you can choose to generate the report in various formats, namely: Adobe PDF, Microsoft Word (DOCX), Microsoft Excel (XLSX) and Web document (HTML)
Merge objects: In the Ultimate version, you have the option to report on multiple objects simultaneously and can choose to merge these into one report or generate one report per object.
Planning tab
Here you can enter the conditions for the output of the report. Most fields correspond to the fields under Planning Options. The input selected under Planning is also displayed here as the default setting.
You can find the meaning of the fields under Planning Options
In a number of financial reports, you can also enter the total number of years, for example 50, under “number of years in planning”, while setting the report to show only the first 10 years in detail. To do this, tick the “Consolidated view” field and enter the number of years that should be shown in detail in the report under “number of years in detail”. The remaining years will then be shown and calculated in consolidated form.
Theme tab:
Here you can choose the theme in which the report should be displayed.
Colour schemes, logos and footers can be saved in a theme.
By default, the Spacewell, Black/White and your own organisation’s theme (if configured) are displayed.
If the corporate identity changes, the theme can be modified under System Administration-Report Management- Reporting themes
If you need to report for multiple clients, different themes can be created and selected.
Layout tab:
The content of this tab depends on the selected total or partial report. Below is an example for the Total report:
Here you can set whether the following options should be shown in the report:
- Logo
- Print date
- Page numbers
- Notes
- Risk priority matrix
You can select whether you also want to display all partial report cover pages in the total report.
You can also choose to fit the columns. The software will then adjust the column widths based on the input, within the possibilities of the report.
With the Photo layout, you can display the photos on the Object cover page.
Financial tab:
Here you can choose whether to display the amounts in the report with or without the currency symbol. Under System Administration-Settings-Region, you can adjust the values for the region.
Filters tab:
Here you can set filters or groups to determine how the report is displayed.
If you want to generate a report containing, for example, only the costs for painting work, you can use filters.
If you want to apply a filter, the filter description is displayed on the report. You can choose from 3 options for the filter description: Automatic, None or Manual.
To set the filter, click the pull-down menu, select the field to which the filtering applies and enter the desired filter value.
You can also create filter groups here so that you receive a report with advanced filters.
You then select “new group” and enter the conditions here, as shown in the example below:
The example above produces a report with activities with fund code 10, where the building component code begins with 46 (painting work in the NLSfB coding).
