Online meeting links (Teams, Google Meet, Zoom)

An online meeting link lets participants join from anywhere. Reservation Sync can add a link automatically to reservations created in Workplace.

Default behavior

  • Always host online is on by default (Integration Platform > Reservation Sync > Sync Settings). Every reservation created in Workplace and synced to Outlook or Google Calendar gets an online meeting link. The Spacewell consultant can change this setting in the Integration Platform; the Integration Platform is only available to Spacewell consultants.
  • Microsoft Exchange: the default provider is Teams.
  • Google Calendar: the default provider is Google Meet.
  • Zoom is another supported provider.

Teams and Google Meet

  • Meetings created in Outlook or Google Calendar: add the link with the usual option when creating the meeting, if this option is enabled for your organization.
  • Reservations created in Workplace: a Teams or Google Meet link is added automatically when “Always host online” is enabled.

Zoom

The customer needs a Zoom account (https://www.zoom.com/).

  • Outlook and Google Calendar: install the Zoom add-in/plug-in to add a Zoom meeting to an event.
  • Reservations created in Workplace: Spacewell consultant adds a Zoom connector in the Integration Platform (Sync Settings) with the credentials of the customer Zoom account. Zoom links are then added automatically.

Info

  • The Zoom plug-in for Google Calendar creates one Zoom meeting for a whole recurring series. Editing one occurrence does not create a separate Zoom meeting; every occurrence uses the same link.
  • In Outlook, a Zoom meeting can be created while the meeting is still a draft. Changes made after that (for example the subject) are not updated in Zoom. Add the Zoom meeting after entering all details, or delete it and add it again after making changes.
