Reservation Sync Glossary

Term

Meaning

Reservation Sync

The synchronization of room reservations between Workplace and Microsoft Exchange or Google Calendar. Formerly: external calendar integration, Calendar Sync, Exchange Sync, Reservation Sync Interface.

Room-centric

Reservation Sync works with room calendars, not with personal calendars. See [6].

Room mailbox / resource

The calendar of a room in Exchange (room mailbox) or Google Workspace (resource).

Room list

An Exchange group of room mailboxes. Reservation Sync needs at least one visible room list.

Room mapping

The link between a room mailbox/resource and a reservable room in Asset.

Inbound reservation

Created in Exchange or Google Calendar and synchronized to Workplace. Changes are made in Outlook/Google.

Outbound reservation

Created in a Workplace touchpoint and synchronized to Exchange or Google Calendar. Changes are made in Workplace/Asset.

Out of sync

A reservation that no longer matches between the two systems.

Conflict

Two or more reservations for the same room at the same time.

Real-time conflict resolution

Resolves supported conflicts immediately; the reservation created first is kept.

Reconciliation

A run every 24 hours that fixes out-of-sync reservations and, depending on the setting, reports or fixes conflicts (Exchange only).

Integration Platform

The Spacewell service that connects Asset with Exchange or Google.

API Connector

The Asset object that gives the Integration Platform access to Asset and defines which rooms are exposed.

Observation

Created automatically on the API Connector when a mapping is enabled; handles the notifications for that room.

Microsoft Graph API

Microsoft’s current API used by Reservation Sync. Replaces EWS.

Microsoft EWS

Exchange Web Services, the old Microsoft interface. Replaced by Graph API.

Exchange / Outlook or Teams / Azure

Exchange is the mail and calendar server; Outlook or Teams is the app users work in; Azure is the cloud platform where services (including Exchange) run and where the app registration is made.

Exchange migration

Moving existing future reservations when Reservation Sync starts: from Outlook/Google to Workplace (inbound) or from Workplace to Outlook/Google (outbound). Also used for Google Calendar.

Inbound / outbound migration (SW internal)

Copying existing future reservations from Exchange/Google to Asset (inbound) or from Asset to Exchange/Google (outbound).

Batch ID (SW internal)

Unique tracking ID for each room’s migration.

Sequential processing (SW internal)

Migrating rooms one at a time.

Tracking document (SW internal)

Excel file used to monitor migration progress (Sample_ExchangeMigration.xlsx).
