Assurance documents (simple) module

Info

Note: This documentation is provided in its previous/legacy format. A comprehensive restructuring and optimization effort is planned, and the content will be updated accordingly.

Goal

Assurance documents are used to register documents with an expirationdate/next revision date. Documents with a validity by law, certificates with an expiration date and inspection reports need to be revised every x period. Via dashboards, all assurance documents can be managed and revised before the document expires.

You can use the simple assurance documents if you only want to register the next revision date of a document and have an overview of documents that are expired or about to expire. Simple assurance documents do not have a workflow with specific tasks and do not have a link to an object (property / asset).

If you want to use assurance document with a workflow and link to specific objects, you can use the more advanced assurance documents.

Description

Add the assurance documents

Via the BasicCreateButtonBar (StartBoard) the user group FMB-G066 can add an assurance document. The following fields are available:

  • Title
  • Description
  • Next revision date (date on which the document expires and must therefore be revised)

In addition to the fields to be entered, a document can be uploaded and comments can be added.

Overview of the assurance documents based on their next revision date

Via the BasicInfoButtonBar (StartBoard), the user group FMB-G066 has the possibility to view all (simple) assurance documents (FMB-REP-162). This overview is sorted by date, with the documents that have already expired or about to expire at the top. The traffic lights indicate the need to revise the document:

  • Red: The next revision date has expired.
  • Orange: The next revision date of the document is within the next 30 days.
  • Green: The document has no revision date or the revision date is further into the future than 30 days from today.

Update an assurance document

A new version of the document can be added using the Upload function within an existing assurance document. Change the next revision date. The document will no longer be on top of the report waiting to be revised.
