General
- All file types can be uploaded in Asset, taking into account the maximum allowed upload size (see Limitation for uploading data).
- Depending on the file type, the document is also converted to PDF, after which a preview becomes available. A document preview can be:
A magnifying glass on a list page;
- Card grid view;
- A preview field on an instance page (for example a contract document on a contract);
- An icon or document preview in a document include
- Depending on the users authorizations, the PDF and/or original file can be downloaded.
Files that are converted to PDF
The most commonly used office file types are supported (macro and template sub formats excluded).
- MS Word (.doc and .docx)
- MS Excel (.xls and .xlsx)
- MS PowerPoint (.ppt and .pptx)
- Most OpenOffice equivalents of the above mentioned file types (for example .odt) will convert to PDF as well, but are not guaranteed to work.
Info
Although not officially supported, emails (.msg file format) will be converted to PDF as well and can therefore be viewed directly in Asset.
Files that can be previewed using the Asset build-in viewer
- Common picture formats, such as: .jpg, .jpeg, .png, .tif, and .gif
- .dwg
- .dwf
- .json*
- .txt
- .xml*
* The conversion field will show ‘No suitable converter’ or ‘Not applicable’, but clicking on the preview will display the content.
Info
- The file types above is not the complete list, but mentions the most common file types. The list of supported types is expanded continuously.
- Is your file type not mentioned? Simply upload it and see what happens!
Uploading and conversion of emails
Officially, uploading emails is not supported, but we see that in most cases there are no issues when uploading. Simply use drag- and drop or file select, to upload your email.
Limitation
The conversion to PDF is very limited. Typically only the text, of body of the email, will be converted to PDF. So attachments, in line pictures, and additional information such as sender/ receiver/ CC/ BCC, are not part of the PDF. When the original email is downloaded from Asset, the missing information can be viewed in your preferred email program (e.g. Microsoft Outlook, Apple Mail, and Mozilla Thunderbird).
