Asset app integration module activation and information

Note

This article is about the steps needed to activate the Asset app integration from Asset point of view. However, for the complete end-to-end integration, it is also relevant to set-up the Spacewell Integration Platform (router) and the Asset app backend application. Therefore this specific article is only 1 of the steps needed, and it is advised to start the complete implementation via the general ‘Asset app integration’ page (to be found via Implementation consultants → Default integrations → Asset app integration). One of the steps in those articles will guide you back to this article!

1. Asset app integration in general

The integration between Asset and the Asset app introduces a dedicated mobile app (featuring full offline capabilities) for handling both standard work orders and work orders enriched with customer-specific checklists. This solution is designed with field operatives in mind, like handymen and mechanics.

2. What is this module about

This module makes it possible to assign corrective work orders and preventive maintenance work orders to an internal contractor, which can handle the work order via the Asset app. The work order becomes available for the contractor in the app’s task list, from which it can be picked up.

For more information on the related modules in Asset, see:

3. Why use this module

With this integration, corrective and preventive maintenance work orders generated in Asset can be automatically dispatched to the Asset app, used by technicians. This app is designed to function even in offline environments, allowing field staff such as handymen or maintenance personnel to access, manage, and complete their tasks regardless of connectivity.

  • Work orders are instantly available in the technician's mobile app, reducing delays and eliminating manual handovers.
  • The app ensures that technicians can continue working even without an internet connection. Data is synced once connectivity is restored.
  • Facilities managers maintain full visibility and control over work orders from within Asset, while technicians get a simplified, action-oriented interface.
  • Completion status, remarks, and a signed work order PDF form can be pushed back to Asset, improving reporting and audit readiness.

4. How to activate this module

As for every new module, use the ‘Module activation’ option on the administrator startboard (only available for level 2 and level 3 admins). For more general information about these 'Module activation' options, see Module activation

The Asset app integration has one configuration guide for the Asset app backend, the Integration Platform and Asset. This configuration guide can be found via: Configuration guide Asset app integration . This module activation is only 1 step in the complete configuration guide for the Asset app integration.

4.1 Prerequisites before activating this module

The Asset app integration requires the corrective work orders module or preventive maintenance work orders module to be activated.

For more information on these module activations, see:

4.2 Module activation

For this specific module activation, one setting applies. However, additional configuration of settings is also required in the automatically generated External App, These additional settings and configuration steps, as well as the necessary steps in the Integration Platform and in the Asset app are described in the configuration guide.

Settings to be determined

  • Use Asset app forms as checklists in preventive work orders: By default a default work order form is available to handle the corrective- and/or preventive maintenance work orders in the Asset app. It is also possible to create custom forms in the Asset app backend with additional fields and options, which can be used to handle a preventive maintenance work order. By enabling this setting, the ‘Checklists’ tab becomes available in the preventive maintenance work order and a specific Asset app form can be linked there before assigning the work order to a contractor. This linked form is then used as the template to create a dispatch in the Asset app for the contractor.

4.3 Data imports

For this module activation, no data imports are relevant. For more information on data imports in general, see: Data imports

4.4 System groups

For this module activation, no additional system groups are relevant. Since this module is about the Asset app integration, the system groups relevant for the corrective work orders module or preventive maintenance work orders module are applicable.

For more general information on user profiles, system groups, users, and the user profile dashboard, see: Authorizing users

The system groups for the corrective work orders module and related modules can be found here: Corrective work orders module activation and information | 4.4 System groups

The system groups for the preventive maintenance work orders module and related modules can be found here: Preventive maintenance work orders module activation and information | 4.4 System groups

Via the 'User profile management' option on the administrator startboard, these system groups can be assigned to existing user profiles or add them to newly created user profiles.

4.5 Navigation menu and startboard options

No additional navigation menus become available when activating the Asset app integration. The navigation menus of the corrective- or preventive maintenance work order module are applicable in this case.

For more general information on the navigation menu and startboard, see: Navigation menu and Startboard

5. Additional reports

No additional reports are applicable when activating the calendar integration.

6. Additional settings and options after enabling

For most modules, additional settings can be configured after the initial module activation via the 'Module settings' option on the administrator startboard. A module is always activated with the most used settings pre-defined. After the module is activated, the module may have more advanced settings available, which can be managed via the Module settings as well.

To navigate to all Asset app integration settings, go to ‘Modules settings’ → ‘Integrations' tab → 'Asset app integration’ tab. More information on the configuration and settings in the External App of the Asset app integration see: Configuration guide for the Asset app integration

7. Additional information

No additional information currently

8. User manual

No user manual is applicable for the Asset app integration.

9. Q&A

Q: Is it also possible to see upcoming (future) tasks in the mobile app? By default only tasks for today and past due tasks are shown.
A: Not by default, but this functionality can be requested and enabled on account level (see: Scheduled Dispatches – GoCanvas Help Center).
