Type of fields, access to fields, and linking objects

Type of fields

In Asset a lot of different types of fields are used, when entering data. The type of field determines in which way the data can be entered. The most commonly used types of fields are:

  • Text
  • Drop-down
  • Yes/No
  • Date/time
  • Object selection
  • Integer/Float
  • Currency

Text

A text field is used to enter free text. The number of characters which can be entered in a text field is pre defined, but the user is free to enter any text.

Drop-down

In a drop-down field, a pre defined list is available from which the user can select one option.

Yes/No

This field is similar to a drop-down, but the user can only select the options Yes or No.

Date/time

In a date field, the user can select a date via a date picker drop-down. In a date/time field, the user can also select the desired time.

Object selection

In Asset it is possible to link an object to another object. For example:

  • A contact can be linked to a building as the owner
  • A building can be linked to a reservation
  • An address can be linked to an organization
  • etc.

In a object selection field, the user can select an object to link. Within the field it is pre defined what type of object can be linked (an area, a contact, a building, etc.). So only objects from the pre defined type can be selected by the user.

Info

An object selection field can be of the type ‘selection screen' or of the type 'drop-down’. A drop-down field is pretty straight forward. The selection screen works as follows:

Via the three dots, the user opens a filter page to search for the desired object:

The user can also start typing and from the 3rd character, the auto complete searches for matches, the user can select from:

If the field is a Contact field, the user can also directly select their own contact to link:

Once an object is linked, the selection screen field looks like this:

Via the magnifying glass, the linked object can be navigated to.

By clicking on the >, the option to remove the link or link another object becomes visible.

Integer/Float

An integer (whole number) or float (number with decimals) field is used to enter a number.

Access to fields

The fields of a master data object (e.g. building) or object with a process (e.g. reservation) can be editable or not. The fields being editable depends on many factors. Some of the factors why a field is not editable:

  • The user does not have the correct authorizations or user license to edit the field or even the entire object
  • The field is only informative and never editable
  • The process is currently in a status, where the field is not editable
  • etc.

Info

If the user does not have the correct authorizations assigned, because fields/object cannot be edited, the user should contact the system administrator for additional authorizations.

Required fields

Some fields in an object are mandatory to fill in. These fields are marked with an * (Asterisk) in the field label.

If the user saves the object, when not all required fields are filled in, an error is shown.

Hyperlinks

In Asset hyperlinks are used through the whole application. An hyperlink is a clickable text (usually in a different color and underlined when hovered over) the user can click on to navigate to the applicable location. This will usually be another object.

Create and link

For some fields it is possible to directly create and link a new object from the field itself, without having to create the object to be linked via the dedicated module first. For example, it is possible to directly create a new address and link it from the address field on the page of a building.
